The Assistant to the Associate Provost is responsible for coordinating and supporting the administrative functions required for the effective operation of the Student Development Department. This role serves as the primary point of contact for the office of the Associate Provost and the division of Student Development to internal and external parties. This position plays a key role in maintaining records, tracking budgets, preparing reports, and providing administrative assistance for operational excellence.

The posted wage represents CSB and SJU's good faith estimate of likely compensation at the time of posting. Actual pay will be dependent upon several factors, including the candidate's experience, qualifications, and skills, and may fall outside of the range indicated.
Office Operations:
Manage daily operations of the office, including calendar and message management.
Greet and assist students, staff, and guests professionally.
Maintain a clean, organized, and welcoming office environment.
Budget Management:
Process budget requests from designated budget lines.
Monitor expenditures to ensure fiscal responsibility.
Support the preparation of monthly budget reports.
Information and Record Management:
Maintain organized and accurate electronic records.
Provide electronic administrative support to the leadership team.
Assist in updating the division’s online presence, including website content.
Scheduling and Event Support:
Coordinate divisional and staff meeting schedules.
Provide logistical support for college and university events as needed.
Administrative Support:
Assist with proofreading, presentation design (e.g., PowerPoint), and preparation of correspondence.
Complete general administrative duties assigned.
Reporting:
Assist with compiling and drafting materials for reports as requested by leadership.
Ability to gather information, conduct basic research, and assist with project tasks

High school diploma or equivalent.
Minimum of three years’ experience in an office setting.
Demonstrated ability to organize and manage a wide range of administrative responsibilities.
Proven experience managing multiple budgets.
Ability to manage people and situations with discretion and sound judgment; effectively refer individuals to appropriate campus resources.
Self-motivated with the ability to identify needs and proactively address them.
Strong written, oral, and interpersonal communication skills.
Experience contributing to collaborative projects through research, analysis, and problem-solving.
Proficiency with current office software and tools including scheduling, budgeting, word processing, databases, presentations, and web-based systems.
Ability to multitask and remain flexible in a fast-paced, evolving environment.
Physical Requirements:
Requires working at a computer for extended periods, including typing, reading from a screen, and using various software programs essential for the role.
Travel Requirements:
Regular travel between the campuses of the College of Saint Benedict and Saint John’s University.
